VEHICLE HIRE TERMS

1. General Conditions
1. Delivery and collection is complimentary within London. Charges apply outside of London
2. Minimum car hire period is 24 hours.
3. Members must be aged between 25 years and 70 years.
4. Members must hold a current valid UK or international driving licence and must have held same for at least 2 years or 5 years, dependent upon the type of vehicle hired.
5. If for any unforeseen reason the chosen car is not available, we will provide an equivalent or upgrade you.
6. Smoking is prohibited in any car including the use of e-cigarettes or similar devices
2. Rental Period
If you are going to be late please contact us asap as this could impact on the use of the vehicle by another member. If the vehicle is repeatedly late you will receive a warning and your membership will be reviewed. Please refer to the Club Rules.
If an extension to the rental period is required we will need 4 hours’ notice. Extensions are only available if there are no other bookings for the vehicle.
3.1 Payment can be accepted by credit card, debit card, and bank transfer for the annual subscription fee. Payment made by bank transfer must be cleared funds showing in our account prior to membership start date.
3.2 The Rotate Club membership requires a security deposit of £5000 to cover damages, fines and charges incurred during the hire period. This is refundable.
3.3 Excess. Please contact firstname.lastname@example.org for further information about the excess.
4.1 The member agrees that the vehicle is only to be used on public roads and for normal driving purposes.
4.2 The member agrees that the vehicle will not be used for Couriering, or on any sort of Rally, Track Day, Racing or Speed Testing.
4.3 If the vehicle is used off the public highway without us giving prior consent, the member accepts full responsibility for all damage incurred.
4.4 Use of the vehicle off the public highway on any race track, airfield (used or disused) or vehicle testing facility is prohibited.
5.1 Comprehensive cover is for the authorised member only. Additional drivers can be included on the membership for a limited period following approval from the Rotate Club Team. Additional drivers will be required to complete an application form and submit the relevant documentation. Charges apply.
5.2 The Insurance cover applies only to the public highway in the UK and if the vehicle is used in accordance to the agreed terms and conditions on hire. If the driver breaches any of the terms and conditions agreed or the vehicle is used off the public highway or outside the UK, without prior written consent, any insurance cover will be void.
5.3 If the driving license of the member or any additional driver contains any current endorsements, these must be declared on the application form and on email during the membership subscription period.
5.4 As the member you agree that the following statements (clauses 5.4.1 – 5.4.5) to be true:
5.4.1 I am in a physical condition so as to be reasonably considered capable of driving a performance car safely.
5.4.2 I have not been disqualified from driving for a period exceeding 12 months within the last 3 years.
5.4.3 I have not been involved in more than one fault accident in the past 3 years (if so, an insurance referral form must be completed and authorised by the underwriter)
5.4.4 I am not engaged in any of the following: Couriering, Rallies, Trails, Track events, Private roadway, Racing, Speed testing.
5.4.5 I am not a full or part-time professional in any sport or entertainment activity.
5.5 Drivers not qualifying under the above (clause 5.5) may be permitted subject to additional terms and conditions to be agreed prior to the commencement of the hire. If such a driver is subsequently accepted they will be permitted to drive the vehicle only with our written consent and that of our insurance company.
5.6 Only the person(s) named as the Rotate Club member are insured to drive the vehicle. If anyone other than the member is found to be driving the vehicle, the insurance cover will be void. The member will also be liable for any loss or damage incurred by Us.
6. Loss or Damage to Vehicle including charges
6.1 If the vehicle is damaged whilst on hire, the member agrees to pay for all damage and repairs. The cost of the repairs will be quoted by an approved repairer only.
6.2 Any damages caused by abuse to the vehicle including, but not limited to, excessive tyre wear, clutch wear and excessive revving will be charged to the you, the member. Your liability in the case of abuse to the vehicle is not limited to the amount of membership subscription.
6.3 Excessive stone chips on the vehicle will be deemed to be damage and charged for accordingly.
6.4 Excessive speeding and hard cornering will also be deemed to be causing damage to the vehicle and charged for accordingly. If excessive speeding is detected, you will be given a warning. If you ignore this warning and continue to travel at excessive speed, your membership will be reviewed.
6.5 As the member, you agree that your membership points will be deducted for each day that the vehicle is off road for repair in the event of damage/excessive wear caused by you.
6.6 If the vehicle is stolen during the hire period or if the vehicle is stolen by you, the member, or if you are deemed to be responsible for the theft, your liability is for the full market value of the vehicle.
6.7 If we do not hold a bond or security deposit, in the case of any damage or theft, you the member agree to pay the any loss incurred by Us.
7.1 We do not offer any insurance waiver facility.
8.1 All accidents must be reported directly to the Rotate Team within 2 hours quoting the registration number of the vehicle and an accident report form completed within 24 hours after the accident.
8.2 Failure to do this may result in the insurance cover becoming invalid.
9.1 There is a daily mileage allowance for each vehicle according to the level of membership you are subscribed to.
9.2 Any additional mileage travelled will be charged at 0.5 points per mile.
10. Driving Licence
10.1 A valid driving licence (held for at least two years or five years) must be produced at membership application.
10.2 Licences showing current endorsements for driving offences may be accepted our discretion. Please check at application.
10.3 We also require an additional proof of identity such as a passport or National Identity Card and a proof of address dated within the last 3 months and showing the same address as your driving license.
11.1 Fuel is not included in the membership fee.
11.2 The member is responsible for ensuring the correct fuel is used.
11.3 If the wrong fuel is used the member is liable for all costs including recovery, drainage and repair.
11.4 The level of fuel that is in the vehicle’s fuel tank when it is hired out to you, will be the same level of fuel that is required to be in the fuel tank of the vehicle when it is returned to Us.
11.5 Provided the vehicle is returned with the correct level of fuel in the tank of fuel, no refuelling charge is payable.
11.6 If a vehicle is returned with a lower level of fuel than agreed, we will refuel the vehicle on the member’s behalf and charge the member for this.
11.7 The price to fully refuel a vehicle is £150 (4×4) / £130 (supercar). This includes VAT & admin charge.
12. Additional Drivers
12.1 Additional drivers may be added to the rental period, provided that the additional named driver meets the set criteria and produces the required application form and documentation (driving licence, passport and utility bill). All details must be provided before the hire date, with reasonable notice, so that document & security checks can be made. There will be an additional charge and limitations for this, it is set out in the membership section of rotateclub.com.
12.2 We reserve the right to refuse additional drivers without reason.
13. London Congestion Charge
13.1 We will NOT include the London congestion charge as part of membership. The member is liable and responsible for payment if the vehicle is driven in the zone during the rental period.
14. Vehicle returns
14.1 The member is responsible for ensuring the vehicle is returned to the agreed location unless prior collection has been arranged.
14.2 If the condition of the vehicle or the weather/light conditions do not permit a full and complete inspection of the vehicle on return, we reserve the right to fully inspect the vehicle at our location after the vehicle is fully cleaned.
14.3 If we have agreed for the vehicle to be returned outside of office hours, the member will remain responsible for the vehicle and its condition until it is re-inspected by a member of our staff.
14.4 If we have agreed the vehicle may be returned to another location, it is the member’s responsibility to inform us that the vehicle is ready for collection and to park the car safely and legally until the vehicle is collected. The member will remain responsible for the vehicle and its condition until it is re-inspected by a member of our staff.
15. Parking, Traffic and other offences / fines
15.1 Where possible, all fines and penalty notices will be represented to the member. An admin fee of £45 incl. VAT will apply per offence.
15.2 All fines and court costs for parking, traffic or other offences (including any costs which arise if the vehicle is clamped or towed) are the responsibility of the member.
15.3 If the hire vehicle is impounded, the member will be liable for any loss incurred by Us and the full payment to get the vehicle released.
16. Foreign Travel
16.1 Cars may not be taken out of England, Scotland or Wales without written authorisation or prior approval from us.
16.2 Vehicles taken abroad will be subject to an additional insurance cover. Contact us for further information and cost.
17. Child / Baby Seats
17.1 We can provide child and baby seats at additional cost; please request this service at the time of booking. Fitting of the seat is the responsibility of the member.
